Front desk and reservations

One room rack, and everything comes from it. Every booking is confirmed against real availability at that moment.

The guest book

Each guest is entered once: registration card and scanned ID in the same place, with their stay history.

  • Search by name, ID, date or room
  • Passport reading is only a suggestion: nothing enters the register until the front desk confirms it

The guest, from their phone

Before arriving, the guest receives a link and completes their registration. Nothing to download. The front desk receives the finished card and reviews it.

  • Spanish, English, Portuguese, French, German, Italian, Chinese and Hebrew
  • During the stay, their requests and room-service orders go straight to the hotel

Cash desk and day close

Payments, room folios, cash shifts and reconciliation are balanced in the system before the day is closed.

Housekeeping marks rooms ready from the phone. Maintenance receives every fault as it happens, with the room and the details.

Invoicing in Ecuador

You invoice as usual. Bitácora hands you the numbers.

Bitácora does not issue electronic invoices, and that is deliberate. Your hotel keeps invoicing with what it already uses (Facturador SRI, Contifico or your accountant), and Bitácora hands you a sheet with everything that needs deciding, already decided:

  1. The VAT rate for each stay, including 0 % for foreign tourists, with the evidence behind it: the date of their last entry into the country
  2. The buyer's ID type for the SRI, with national ID and RUC numbers verified by their check digit
  3. The service charge

Every figure carries the reason behind it. If a detail is missing, the sheet says so instead of guessing, and your accountant always has the final word.

Worth knowing.

The questions a hotelier asks first, answered plainly.

Do I need to install anything?

No. The front desk uses it in the browser on the computer it already has; housekeeping and maintenance, on their phones. The guest opens a link: there is no app to download.

Why doesn't it issue electronic invoices?

Because your hotel already invoices, and changing that helps no one. Bitácora handles the part your invoicing tool cannot know, such as whether a stay carries 0 % VAT, and hands you the sheet. You issue the invoice with your usual tool.

What if the internet goes down?

Housekeeping and maintenance keep working from their phones: what they record is saved and syncs when the connection returns. The front desk does need internet to work.

What happens to my guests' data?

It belongs to the hotel. Each person sees only what their role needs, every action is logged with its author, and you can export the entire register whenever you like. Scanned documents are kept in private storage.

What if I decide to stop using it?

There is no lock-in contract. Cancel for the following month and take a full export of your data.
